Job Description

Supports functional areas by organizing and expediting workflow through the office. Initiates action and follow-up activity. Provides time management and operational support by coordinating schedules, and taking initiative on behalf of management in their absence. Communicates information by assisting in the preparation of Board reports, statistical data, charts, graphics, etc. of a complex and technical nature. Resolves problems by researching, collecting, analyzing and summarizing complex industry data and trends to create letters. Performs multi-faceted support functions, special projects. Ensures compliance is met with all policies and rules and regulations set forth by the company. Support various departments with non-compliance correspondence and tracking to support staff and hotel owners by performing advanced and confidential administrative functions.

 

Duties & Responsibilities

  • Manages outlook calendars
  • Corresponds with various departments to send letters.
  • Suggests and implements process improvements when appropriate to enhance the turnaround times.
  • Regular communication with members of the Board, senior executives and BWI members to provide information requiring some explanation of complex issues.
  • Track all daily tasks.
  • Supports Board related functions such as creation of letters, agendas, PowerPoints and member follow ups.

Accountability

  • Works independently under general supervision and follows established procedures.
  • Provides guidance on policies and procedures to less experienced representatives.
  • Shows initiative to accomplish assigned tasks to meet strict deadlines.

Skills

  • Basic proficiency in Microsoft Office Suite. May require intermediate proficiency in one or more specific application (Excel, PPT).
  • Applies advanced skills to the position or specialization.
  • Ability to multi- task and take direction from various key employees to support special projects such as Board preparation.
  • Excellent organizational skills, with capability to prioritize and meet critical deadlines to ensure member notifications are sent out accordingly.

 

  • Adapts procedures, processes, tools, equipment and techniques to meet the more complex requirements of the position.
  • Strong organization and administrative skills
  • Professional email writing abilities
  • Exhibits a friendly personality and enjoys being a part of a team
  • Excellent organizational skills, with capability to prioritize and meet critical deadlines to ensure member notifications are sent out accordingly.
  • Confident communication (written and verbal) and interpersonal skills with advanced attention to detail.
  • Smartsheet knowledge preferred

Experience

  • Minimum 3 to 5 years of progressively more responsible administrative experience with the ability to function independently with a larger scope of importance.

Education

  • High school diploma or equivalent certification.
  • Bachelor’s degree preferred.
