Job Purpose

Supporting the CEO, COO, and several other executive committee members. The Office Manager will perform extensive and diversified functions of a highly responsible, confidential, and technical nature. Regularly interfacing with senior-level internal and external contacts, this position requires a high degree of diplomacy and independent judgment.

Essential Job Results

  • Supports designated senior executives by acting as initial point of contact for executive office and performing diversified functions with multiple priorities.
  • Performs full executive administrative functions by handling telephone calls, scheduling appointments and meetings, developing and organizing record keeping systems, managing executive calendars, and arranging travel itineraries both domestically and internationally.
  • Prepares expense reports for designated executives in accordance with Company policies
  • Initiates and responds to executive office communication needs, to include preparing written correspondence and managing mass distributions.
  • Takes ownership of and completes assigned special projects.
  • Anticipates needs of executive team and proactively takes action.
  • Monitors and adapts to changing priorities.
  • All other duties as required.

Work Location and Schedule

  • This is a full-time, office-based position working at our Corporate Headquarters. Work hours/days: 8:00AM - 5:00PM Monday through Friday.

Experience

  • Minimum 10 years of progressively responsible administrative and project management experience including senior management support.

Education

  • Bachelor’s degree or an equivalent combination of education and experience.

Skills

  • Proficiency in Microsoft Office Suite, especially Word, PowerPoint and Outlook.
  • Ability to self-manage; work independently with minimal supervision; juggle and prioritize multiple tasks.
  • Direct, control and manage projects through to completion and meet established deadlines.
  • Exercise sound judgment.
  • Handle business sensitive information with appropriate confidentiality.

  • Works independently to provide administrative support in all areas of the executive’s responsibility.
  • Expected to solve complex problems of a highly responsible, confidential, and technical nature requiring broad latitude for independent judgment.

  • Excellent communication (written and verbal) and interpersonal skills.
  • Demonstrates high level of diplomacy and tact to act as initial point of contact for executive office.
  • Regular communication with BW members, internal and external executives, and Board of Directors’ to independently provide information and respond to requests, typically of a complex nature.

Problem Solving

  • Plans, leads and completes multiple administrative and analytical projects and functions where a thorough understanding of Company and executive office operating methodology is applied.
  • Suggests and implements process improvements when appropriate.

Other Requirements

  • High level of visibility with regular exposure to senior internal and external contacts and sensitive business information.
